WEST TRUCKS LLC ("West Trucks", "we") operates a truck stop with fuel sales, parking and road transport support, a store with online ordering, cargo handling, and wholesale trade. This policy explains how we process personal data under the Law of Ukraine "On Personal Data Protection" and the GDPR, which matters to us because many of the drivers we serve are EU residents.

2. Drivers and vehicles at the stop
When you use our parking we record the registration numbers of the tractor and trailer, entry and exit times, and a contact phone number. Automatic number plate recognition may be used at the gate. This is necessary to provide guarded parking and to resolve any incident.
3. Video surveillance
The parking area, fuel pumps, cargo yard and store are under CCTV for the safety of drivers, vehicles and cargo and to prevent fuel theft. Signs indicate monitored areas. Recordings are kept for 30 days and released only to the police or to the person concerned where the law allows.
4. Fuel customers
Retail fuel sales are recorded through fiscal cash registers. For fleet cards and wholesale contracts we process the company details, driver names, vehicle numbers and transaction records, which are reported to the fleet owner.
5. Cargo handling
We process transport documents (CMR, invoices) and photographs of cargo condition taken during handling. They may contain names and signatures of drivers and consignees.
6. Store and online orders
For online orders we collect name, phone, delivery details and items ordered. Distance purchases may be returned within 14 days in line with consumer protection law.
7. Border document assistance
If you ask us to help with queue registration or documents, we process your passport details, vehicle data and route only for that purpose and do not retain copies after the task is complete.
8. Purposes and grounds
Performance of contracts, legal obligations (fiscal, tax), legitimate interests (security of people, vehicles and cargo), and consent where requested.
9. Recipients
Fleet owners (for fleet card transactions), couriers, payment providers, insurers in case of incidents, the police on lawful request, tax authorities. We do not sell personal data.
10. Retention
- Parking records: 6 months.
- CCTV: 30 days, unless needed for an incident.
- Cargo handling records: 3 years.
- Document assistance data: deleted when the task is completed.
- Orders and fiscal records: as required by law.
11. Your rights
You may access, correct and delete your data (subject to legal retention), restrict or object to processing, obtain a portable copy and withdraw consent. We reply within 30 days. You may complain to the Ukrainian Parliament Commissioner for Human Rights or the supervisory authority of your EU country.
